  Terms and conditions of room hire

Bookings and payments

1. Rooms and Facilities for Hire: Details of our rooms, facilities and the relevant rates are set out on the Church’s website (www.bloomsbury.org.uk) and in our leaflet Halls and Meeting Rooms to Hire.

Discounts are available to non-profit organisations and registered charities- further details available from the Church Office.

2. Provisional Bookings: These may be made by telephone or email (church@bloomsbury.org.uk) and held for a limited period but priority is always given to those who secure their booking with a non- refundable deposit (£20 per day).

3. Confirmed Bookings: The return of a completed Booking Form with either a non-refundable deposit (£20 per day), full payment or a Company Purchase Order confirms a booking (In the event of your cancelling your booking you forfeit your deposit or are liable to pay a £20 cancellation fee).

4. Payment: We prefer full payment when booking but if this is not possible a deposit of £20 per day is required when booking, the balance to be paid no later than the day of the relevant booking. If you require other terms (i.e. you operate a Purchase Order Payment System) please contact the Church Office to agree your payment arrangements.

5. Termination of booking: The Church reserves the right to terminate any bookings by a group or individual, which fails to comply with the above conditions.

6. Long-term bookings: In the case of bookings extending over a considerable period, the Church reserves the right to move a booking to a different location or, in extremis, cancel it on a particular date if an urgent and unexpected church need arises. Such re-locations or cancellations will be kept to an absolute minimum and adequate notice will be given.

Building use restrictions

1. Access to Premises: Please note the building opens at 9am and closes by 10pm. Access to the building will be available from the start time on your Booking Form. Because of other bookings you will be expected to vacate the building at the time agreed on your Booking Form. There will be an additional charge of £20* for each 15 minutes by which you over-run.

2. Sign-in / Sign-out: Depending on the nature of the booking we require either:

a) all attendees to sign in/out or
b) a person on site to be responsible for their group/booking and they should sign-in on arrival and sign-out when leaving. (In the event they are NOT last to leave another person should assume responsibility for the group and must sign-in at reception.)

3. Smoking is NOT permitted on church premises and this includes the front steps and ramp.

4. The church has a NO ALCOHOL policy but is prepared to waive this in very exceptional circumstances; written permission from the Church Officers must be sought two months prior to an event.

5. Child Protection: If any children or vulnerable young people are present for a booking, the hirer will be required to have a child protection policy, based on government guidelines. This child protection policy will be checked against the church's own policy by the person responsible for lettings and if necessary in consultation with the 'Safe from Harm' co-ordinator.

6. The use of tape or ‘Blutack’ etc. is NOT permitted either on walls or the floor. Please ask at the Receptionist if you require temporary signage to direct users about the building.

7. Bicycles: Bicycles may not be brought into the building nor may they be secured to the handrails outside. Cycle parking facilities are provided on the pavement outside the church or on ‘the triangle’ opposite.

8. Catering: Groups may arrange for their own catering and should discuss their needs prior to booking. Use of the kitchen can be negotiated but food hygiene guidelines must be followed which may require that a suitable qualified person is in attendance. Coffee/tea/bottled water is available at a modest cost, which depends on the level of service required. Groups requiring more extensive catering should contact the church office.

Health and safety

1. Risk Assessment: Hirers are required to undertake their own risk assessments and may be asked to supply details to the Church.

2. Means of Escape: Corridors and emergency exits are NOT to be obstructed at any time. Furniture or equipment must be stored within the room hired. Please ensure you have made adequate provision for your needs. A waiting area is provided in the Foyer for groups who need this facility or a separate room may be booked. Hirers are expected not to compromise their own safety or that of other users of the building.

3. Evacuating the Building: We require a person on site to be responsible for their group/booking and they should sign-in on arrival and sign-out when leaving. (In the event they are NOT last to leave another person should assume responsibility for the group.) They should familiarise themselves with the fire notices and escape routes in the building so as to be clear what action is to take if an evacuation is necessary. Note, in particular, that if the alarm sounds, the person responsible for the group must ensure that everybody attending their event leaves the building as quickly as possible without using the lift and assembles on the island opposite the Shaftesbury Theatre and they should report to the Receptionist/Fire Marshall whether all members of their group are accounted for or not.

Any person who cannot manage the stairs should be conducted to a landing/lobby adjacent to the lift - these are designated fire lobbies and afford protection until evacuation is possible. It is the responsibility of the hirer to ensure that those in their care can be evacuated from the building and may need to ensure equipment and trained personnel are available.

4. First Aid: Supplies are available in the kitchen/kitchenettes on principal floors and from the Church Office. An ‘Appointed Person’ is usually present but hirers may need to consider appropriate first aid provision for their booking.

5. Damage: The hirer is responsible for the cost of repair to any Church equipment and/or property damaged by any member of their group.

6. Liability: The Church is unable to accept liability for damage to, or loss of, personal property of hirers.

7. CCTV: For the safety and security of all users and for crime prevention the building has CCTV protection. Images are recorded.
